Every material in Lagerdrift already has its own QR code. You never generate it and you never type a code by hand — the system builds it from the material's item number. What you do have to do is print it, and that needs one thing in place first: a label template that decides how big the label is and what goes on it.
This guide takes you from an empty system to a printed QR label on the shelf and a phone that recognises it. Steps 1–3 are done in the web app in your browser; step 4 is on the phone.
- Create a label template under Company → Label Templates (once).
- Check that one field has Content: QR Code and Type: QR-Code.
- Tick the material in the Materials list and click Create Label.
- Print the PDF, attach the label, and scan it with the mobile app.
Step 1: Create a label template
A label template is the physical format: the size of the label, and which pieces of information sit where on it. You need one template per label format you print on — most companies get by with a single one.
- Open Company → Label Templates in the menu on the left of the web app.
- The page has three sections — Material, Tool and Key. Click the green + button on the Material row.

- DINA4 — sheets of labels for an ordinary office printer. Print the sheet, then peel the labels off.
- BROTHER and DYMO — roll formats for those label printers.
- DIFFERENT FORMATS — the remaining special sizes.
- Pick a format. Behind each name is the number of material fields the layout has, for example 98.4x38.1mm (8 Material Fields) — one field holds the QR code, the rest hold text and images. Fewer fields means a bigger QR code and less text; more fields lets you add name, item number and location. A preview of the layout appears beside the list once you select a format (it sits level with the middle of the list, so scroll a little if you cannot see it).
Choose the format that matches your labels. The preview beside the list shows how the fields are divided up — here 98.4x38.1mm, with the QR code top left. - Click create, type a Name for the template — something like Shelf label with QR, you will pick it from a list later — and click Submit.
Give the template a name you will recognise in the printing dialog later.
The new template now appears under Material, with its page size and label size in millimetres.
Step 2: Check the QR field
Open the new template with the blue pencil button (Edit label). At the top you can change the Name again, and there are three switches: Hide outer frame (drop the printed border), Rotate 90 Degrees (turn the label content sideways) and DinA4. Below them, Width and Height in millimetres — and with the DinA4 switch on, Horizontal Gap and Vertical Gap for the spacing between labels on the sheet. Leave all of it alone unless your labels come out misaligned.
Underneath, each field on the label is listed by number — (1), (2), (3) … — with two dropdowns each:
- Content — which piece of information goes in the field.
- Type — how it is drawn: Text, Image, QR-Code or Barcode. (The Color button beside it sets a background colour for that field.)
For a QR label, one field must be set to Content: QR Code and Type: QR-Code. In most of the standard formats field (1) is already exactly that, so there is nothing to change. Click Save when you are done.
What to put in the other fields
- Name — the material name. Worth having: a label with only a QR code tells a human nothing.
- Item number — the article number, printed as text so it can be read and typed in if a code ever will not scan.
- Location / Main Location Name — the storage location, so the label says where the material belongs.
- Item group, Manufacturer number, Manufacturer name, Barcode, Unit, Note — the rest of the material's data.
- Company logo and Image — set the type to Image for these.
- Fixed Text — your own text, the same on every label. A Content box appears next to the field to type it in.
- Custom Field — one of your own fields; you then pick which one.
Fields you leave empty simply print blank, so you do not have to fill every one.
Step 3: Print the QR code for a material
- Go to Materials in the left-hand menu.
- Tick the material you want a label for. You can tick several, or the whole list — the rest of the steps are identical.
- Click the label icon in the action bar above the list (Create Label for Selected Material).
Tick the material and click the label icon in the action bar.
If you have exactly one material template, the PDF is created straight away — there is no dialog to fill in. That is normal, not a skipped step.
If you have two or more, a picker opens. Its heading reads "Which Consignment Documents Should Be Created?" — it is the same dialog the system uses for consignment documents, and it is the right one. Here you:
- select the template you want to print,
- set Copies — how many identical labels per material,
- set Start with space — how many label positions to skip on a part-used A4 sheet. If the first five labels have already been peeled off, enter 6 and printing starts on the sixth.
Click Create. The finished PDF opens in a new browser tab; print it from there. Your template choice is remembered in the browser for next time.
Step 4: Attach it and test the scan
Attach the label where the material is actually picked — the shelf edge, the box or the wall next to the spot. It should be readable without moving anything.
- Open the mobile app and log in.
- Tap Scanner and point the camera at the label.
Scanner sits in the bar along the bottom of the app. - The material opens with its quick functions — take stock out, add stock, see the current quantity.
That is the whole loop. From here on, nobody needs to search for a material: the label at the shelf is the search.
What is actually in the QR code
The code contains the material's item number in a short format the app recognises — nothing else. No personal data, no prices, no link to the internet. It is not a web address, so scanning it with an ordinary phone camera app does nothing useful; it is meant for the Lagerdrift mobile app.
One label per storage location
If a material lives in more than one place, a label per location is more useful than a label per material — the label then says which shelf it belongs to, and the scan lands on the right one.
- Open Material Locations in the left-hand menu.
- Tick the location rows you want labels for.
- Click the label icon (Create Labels) and carry on exactly as in step 3.
Add the Location or Main Location Name field to your template so the location name is actually printed on the label.
You can also print labels straight from the phone
Everything above happens at a computer, but you do not have to be at one. The mobile app can create the same label PDF — useful when you are already standing at the shelf and notice a label is missing, damaged or on the wrong box.
- Open the material on the phone — scan its old label, or find it through Lists.
- On the Info tab, tap the label icon at the top right, just under the camera button.
- Choose Document Type opens with your templates. Pick the one you want and tap Create.

The same templates you built in step 1, now on the phone. Pick one and tap Create. - The PDF opens on the phone — in the app's built-in viewer on iPhone, in your normal browser on Android. From there use the phone's own share or print options to send it to a printer.
The same button sits on tools, keys and consignment items, so the whole labelling job can be done from the shelf.
Frequently asked questions
Do I have to generate a QR code for each material?
No. Every material has one from the moment it is created. The only thing you do is print it, and the only prerequisite is a label template.
The material already has a barcode from the supplier — do I need a label at all?
No. If the item carries a barcode or QR code already, put that code in the material's Barcode field — easiest done by scanning it straight into the field with the mobile app — and your team can scan the original packaging. Printing your own labels is for everything that has no usable code, or where the code sits on packaging that gets thrown away.
Why does nothing happen when I click Create Label?
Two common reasons: no material is ticked (the button is inactive until at least one row is selected), or there is no material label template yet — in that case you get the message "No Label Templates found". Both are fixed by step 1 and step 3 above.
Can I print labels for the whole warehouse at once?
Yes. Filter the materials list down to what you want, tick the rows, and print in one go. The PDF holds one label per material, in the order of the list, and Start with space lets you carry on onto a part-used sheet.
Can I get our logo on the label?
Yes — set a field to Content: Company logo with Type: Image. Fixed Text does the same job for a line of text that is identical on every label.
I need a label size that is not in the list.
Pick the closest format and set Width and Height yourself in the template — with Horizontal Gap and Vertical Gap for the spacing between labels on an A4 sheet. If you would rather have the format built for you properly, email us and we will set it up.
Do I need a computer to print labels?
Only to build the template the first time. After that the mobile app can create the label PDF on its own — see printing straight from the phone.
Does the QR code work with an ordinary barcode scanner?
A USB scanner that reads 2D codes will read it, and the web scanner in the browser takes the same code. If you only have a 1D scanner, set the field type to Barcode instead of QR-Code and it prints a normal barcode.
